Genkō Prior Auth

Terms of Service

Last updated: October 14, 2026

These Terms of Service (“Terms”) govern your access to and use of Genkō Prior Auth (the “Service”), operated by Genkō (“Genkō”, “we”, “us”). The Service is in early access. By requesting an invitation, signing in or using the Service you agree to these Terms. If you do so for a practice, you confirm you may bind it.

1. What the Service is

Genkō Prior Auth helps dental, aesthetics and physiotherapy practices prepare prior authorization packets. From a planned service and the clinical notes you provide, it drafts a clinical justification, a documentation summary and a request letter, lists what a payer may expect that is missing, and lets your team review, edit, lock and export the packet as a PDF. It can also draft an appeal after a denial.

The Service drafts; it does not decide, certify or submit. We never send anything to a payer on your behalf. You download the PDF and submit it yourself.

2. Early access and synthetic data only

The Service is a pre-release product. Features may change, break or be withdrawn, and we may reset or delete early-access data with notice where practical.

You must use synthetic (invented) data only. Do not enter real patient names, dates of birth, member IDs, clinical notes or any other protected health information (PHI). We have no business associate agreements (BAAs) in place with our infrastructure and AI providers, and the Service has not been assessed for HIPAA compliance. Do not rely on it for real patients until we tell you in writing that it is ready and a BAA is signed. If you enter real PHI anyway, you do so in breach of these Terms and at your own risk, and you must tell us promptly at hello@getgenko.com so we can remove it.

3. Invitations and accounts

Access is by invitation. Requesting early access does not guarantee an invitation, and we may decline or withdraw one at our discretion. Owners and admins of a practice invite its team members and are responsible for who has access and what role they hold.

You must give accurate information, keep your credentials and sign-in links private, and tell us at once if you suspect unauthorized use. You are responsible for activity under your account.

4. AI-generated drafts and your responsibility

Drafts are produced with artificial intelligence and may be incomplete, inaccurate or wrong. They are not medical, legal or coverage advice, and a payer may deny a request however well it is drafted. We do not guarantee approval of any request or appeal.

A qualified member of your team must review and edit every section before it is used. Clinical and administrative judgment, and the accuracy of anything you submit to a payer, remain yours alone.

Before drafting, we remove identifiers from the text sent to the AI model (see the Privacy Policy and de-identification docs). This is a safeguard, not a guarantee, which is one more reason to use synthetic data only.

5. Acceptable use

You agree not to:

  • use the Service unlawfully, or to submit false, misleading or fraudulent information to any payer;
  • enter real PHI during early access, or data you have no right to use;
  • attempt to access another practice's data, probe or disrupt the Service, or bypass its limits, budgets or security;
  • reverse engineer the Service, or use it to build a competing product;
  • upload malware, or documents you are not allowed to share.

6. Your content

You keep ownership of what you put into the Service and of the packets you produce. You grant us a limited licence to host, process and display that content, including by sending de-identified text to our AI provider, solely to run and secure the Service for you. We do not sell your content. We do not store the prompts or completions exchanged with the AI model.

7. Trials, limits and fees

Each practice starts on a free trial with usage limits (such as a number of drafts and a monthly AI budget), and generation stops when a limit or the trial ends. Paid plans and online payment are not available yet. If we introduce fees, we will tell you before you are charged and you will not be charged without agreeing to the price first.

8. Third-party services

The Service runs on third-party providers for hosting, database and authentication, AI model access, email and analytics, listed in our Privacy Policy. They have their own terms, and we are not responsible for their acts or outages beyond our own obligations to you.

9. Our intellectual property

We and our licensors own the Service, including its software, design, prompts, name and logo. We give you a limited, non-exclusive, non-transferable right to use it for your practice's internal operations while you have access. If you send us feedback, we may use it without obligation to you.

10. Disclaimer of warranties

The Service is provided “as is” and “as available”, without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, accuracy and non-infringement. We do not warrant that it will be uninterrupted, error-free or secure, that drafts will be accurate or complete, or that any request will be approved. We are not responsible for clinical or coverage decisions made using the Service.

11. Limitation of liability

To the extent the law allows, Genkō and its team will not be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill, arising from the Service. Our total liability for any claim relating to the Service is limited to the greater of the amount you paid us for it in the 12 months before the claim and US$100. Nothing in these Terms limits liability that cannot be limited by law.

12. Indemnification

You will defend and indemnify Genkō against claims, losses and expenses (including reasonable legal fees) arising from your content, your breach of these Terms or the law, or what you submit to a payer or provide to a patient using the Service.

13. Suspension and termination

You may stop using the Service at any time and ask us to delete your practice's data. We may suspend or end access if you breach these Terms, put the Service or others at risk, or if we end early access. Sections that by their nature should survive (ownership, disclaimers, liability, indemnity, governing law) will survive.

14. Governing law and disputes

These Terms are governed by the laws of the State of California and applicable US federal law, without regard to conflict-of-law rules. We will first try to resolve any dispute informally through good-faith discussion for 30 days. Failing that, the state and federal courts located in San Mateo County, California have exclusive jurisdiction, and you and we consent to them.

15. Changes to these Terms

We may update these Terms as the product evolves. For material changes we will notify you by email or in the Service before they take effect. Using the Service after the effective date means you accept them. The date at the top shows the latest version.

16. Contact

Questions about these Terms: hello@getgenko.com. These Terms, with the Privacy Policy, are the whole agreement between you and Genkō about the Service. If a provision is held unenforceable, the rest stays in force.
